Managing Resources
There are two types of resources: human and material. Human resources are those
normally in charge for task completion and task executors; material resources
depend on the character of the task. It can be equipment, various materials
(print, construction etc.), transport, food etc.
To work with resources, first of all you need to switch to Resource Sheet view
(use Resource Sheet in menu View).
Making up and editing Resource Sheet
Adding new resources or editing the already existing ones can be done in dialog
Resources. This dialog can be called by the following ways:
- To add a new resource:
- Use Add Resource in menu Workspace
- Use button Add Resource
on the toolbar Workspace.
- Call the context menu and use Add Resource.
- To edit the existing resource:
- Use Edit Resource in menu Workspace
- Use button Edit Resource
on the toolbar Workspace
- Call the context menu and use Edit Resource
- Double-click on the resource
In the dialog the following data is specified:
- Resource name
- Resource type (human or material). To specify a resource
type double-click on the cell with resource type, press the arrow on the right
and select the needed type.
- Cost
- E-mail address (for workers)
- Notes on resource
In the pop up list on the right, select a period for which payment is done:
hour, day, week or month.
Closing the dialog, do not forget to press OK to save changes.
Note: resources can be copied/ cut and then pasted
to the needed place. For this use Copy / Cut / Paste
in menu Edit. For quick selection of all the resources simultaneously
use Select All in menu Edit.
To delete a resource:
- Use Delete Resource in menu Workspace.
- Use button Delete Resource
on the toolbar Workspace.
- Call the context menu and use Delete Resource.
Task: In our example, let’s add one more worker - the second assistant
and two material resources - equipment and transport.
Assigning resources to tasks
Assigning resources to tasks or editing the already assigned resources can
be done in dialog Task Information on tab Resources.
This dialog can be called by one of the following steps:
- Use Assign Resources to Task in menu Tasks.
- Select Assign Resources to Task in the task context menu.
- Use button Assign Resources to Task
on the toolbar Tasks.
Check resources you want to assign to a task In column Type resource type can
be changed, and in column Units you can specify the degree of resource occupancy
in the given task (for human resources - in percent, for material - in appropriate
units). If at completing a task a worker is fully occupied in it, i.e. he/she
is currently not involved in any other task; his/her occupancy degree is 100%.
Closing the dialog, do not forget to press OK, to save changes.
After assigning resources to tasks resource names will be shown in Gantt Chart
(next to the bar representing the task).
Task: In our example, let’s assign resources to the tasks "Find
out about the equipment on hand and the equipment to buy", "Hire
a bus to take people there and back", "Buy food",
and "Buy lacking equipment" using all the 3 methods of assigning
resources.
